Easy jobsheet links all jobsheets, quotations, images, files and notes into one easily managed software package.  The benefit of entering the data just once and then sharing that information across all your documentation wil save time.   In a recent survey in 2008 of our existing customers said on average they were saving 4 hours a week.

 

*Important – to run EasyJobsheet you need a PC running Windows XP or Vista and Microsoft® Word to produce and print the various pieces of stationery (quotations, job sheets). Does not run on Apple Mac.

There are three easy steps to create your jobsheets. Complete the customer address details, Fill in the comments and optional fields and then select the print option.

Jobsheet layout and style can be changed to suit your business by simply loading the template into Microsoft Word and changing the layout and repositioning the Word "bookmarks" - alternatively we can create the template for you for a small fee.

Keeping Track of the Work in Progress

Easy Every job that you enter is either "waiting to start", "In Progress" or "Complete"

You are in control and a job is moved from "waiting" to "in progress" at the press of a button. Jobs can be changed backwards or forwards and the job editing page clearly shows which category the job is in:

Within each category, you can also set the job to a pre-defined "sub status". So, for example if a job was "in progress", but you were waiting for parts to be delivered, then simply edit the job and change its sub status. It's a simple selection box that holds all the sub status choices.

The list of sub status choices can hold as many choices as you wish. You can create new choices, edit existing and delete as required to suit your workflow process. 

  

  

Instant Report and Snap Shot of All Jobs

Various reports about jobs are available to view on screen or print out. Our customers tell us that the "Status Report" gives an excellent overview of all jobs whether waiting to start, started and associated phone contact and scratch pad notes. The report can be used to discuss work prioritisation with employees or to help plan the days work activity:

Lost Business Report

If you are interested in tracking your quotations and estimates and the reasons perhaps why you did not receive the order you can assign to each lost job a category and then be able to review the largest reason for not getting the job (e.g. too expensive, too late, etc..).

 

Ever wanted to link photos and documents to a particular job?

  

If you take photos of a job before and after completion, then storing and finding them again is always a problem. With Easy Jobsheet any image or document can be imported and saved against the job.

To save and link new documents; simply click the “Add New” button and browse to the file(s) to link.

Finding and accessing the files in the future is straight forward. Use the powerful search to locate the customer or job and then open the "document management panel".

Double clicking on the file opens it in the designated program (e.g. Photo editor, Word, Excel etc.).

Any type of file can be stored and linked to a job in Easy Jobsheets for example. “jpg” or “gif” image files, “doc” word files, “xls” excel files etc… You can return to the job at any time in the future and immediately access the files linked to a particular job.

Make Appointments linked to Jobs

Each job can have an unlimited number of appointments arranged and with each appointment you can define the sales or service engineer, and notes about what needs to be done during the visit. The date, time, comments are all exported onto the job sheet. If you have had several visits to the same job then you have the option to also print to the job sheet the history of all the previous visits along with the current comments.

FAQ's

Q - How many different job sheets can I design?

You can design as many jobsheets as you wish.  Easy Jobsheet uses Microsoft Word with bookmarks to export the data to.  

Q - Can I track all my jobs from start to finish.

Yes Easy Jobsheet has a overall status such started, pending, finished as well as a sub status which is user defined and can include statuses such as 'Waiting for Parts', 'In Dispatch', 'Waiting for Client testing' etc etc

Q - Can I print out a Quote.

Yes all Jobs entered onto the system can e converted in to Quotes/Estimates.  With options to include Material and Labour or to give a completely itemised quote

Q - Can I add documents and photos to each of my jobsheets

Yes  documents and photos can be added so that every thing is in one place.

Q - What support do I receive

Support is available during normal business hours of 9:00am to 5:30pm Monday to Friday (GMT). Support outside these hours is available by prior agreement.
